This page explains how QOLMT (“we”, “us”) collects, uses, and protects personal information. It covers our website, communications, and, where applicable, our products and services.
1) Who we are & scope
This Policy applies when you interact with QOLMT (e.g., visit our site, submit a form, email us) and, where we provide services to a team or organization, when we process data on their behalf.
For website/contact/careers data, QOLMT is a controller.
For team/athlete data inside our products, QOLMT is a processor and the team is the controller under the relevant contract.
2) What we collect
From website/contact forms or emails: name, work email, role/title, organization, phone (optional), and any message you send.
Product use (team context): technical and usage metadata (e.g., timestamps, device/app logs). Where teams use our products with athletes, we process movement-related data and team-provided identifiers under the team’s instructions.
Cookies/analytics: we may use cookies or similar technologies to understand site usage and improve the experience (see “Your rights & choices”).
3) How we use information
Respond to messages, schedule demos, and manage pilot/commercial discussions.
Send product updates or invitations you request or that are reasonably related (you can opt out).
Improve our products and services (including quality, safety, and usability).
Operate, secure, and troubleshoot our sites/services.
Fulfill legal obligations and enforce agreements.
We do not sell, rent, or trade personal information.
4) Legal bases (EEA/UK where applicable)
We rely on consent (e.g., newsletters you opt into), contract performance (providing requested services), and legitimate interests (product safety, security, and improvement). You can withdraw consent at any time.
5) Sharing with service providers
We use trusted providers for hosting, email, analytics, and support. They access personal data only to deliver their services to us and are bound by confidentiality and data-protection terms. We may also disclose information if required by law, to protect rights/safety, or in connection with a merger/acquisition.

We use reasonable administrative, technical, and physical safeguards, including encryption in transit and at rest, role-based access with least privilege, and audit trails. No system is 100% secure; we work to prevent and detect issues and to respond quickly if they occur.
7) Data retention
We keep personal information only as long as needed for the purposes above or as required by law. Examples (defaults you can adjust internally):
Website/demo inquiries: up to 24 months from last interaction.
Candidate records: up to 24 months (or per local law).
Product/ops logs: up to 12 months (or per contract).
Team/athlete data: per the team’s instructions and our agreement.
8) International transfers
Your information may be processed in countries where we or our providers operate. Where required, we use appropriate safeguards (e.g., contractual clauses) for cross-border transfers.
9) Your rights & choices
Depending on your location, you may have rights to access, correct, update, delete, or restrict processing of your personal information, and to withdraw consent. 10) Children
Our services are not directed to children under 16. We process athlete data only under a team’s control and in line with applicable laws and consents.

We may update this Policy to reflect changes in our practices or legal requirements. We will post the updated date at the top and, where material, will provide additional notice.
